Sales Coordinator

The Sales Support Coordinator is in charge of the acceptance of sales bookings or orders and inventory monitoring. The incumbent ensures accuracy in the data encoded in the prescribed ERP system

DUTIES AND RESPONSIBILITIES:

  • Receives orders or sales booking requests from clients or Sales Personnel using the acceptable or prescribed tools/system.
  • Validates detail in order taking including but not limited to customer name, delivery address, product item and quantity, price, terms, and delivery instructions.
  • Meticulously encodes all the required details in sales booking using the prescribed ERP system, within the standard period or lead time.
  • Checks to ensure alignment of booking price versus the price list.
  • Records / encodes and updates product movement or inventory including but not limited to allocation and reservation, within the prescribed period and set guidelines/procedures.
  • Monitors daily sales orders; ensures all booked orders are encoded in the prescribed ERP system)
  • Answers clients’ product or sales inquiries, within one’s capacity and authority; endorses concerns to Immediate Head, when necessary.
  • Coordinates with the warehouse section and conducts daily reconciliation of product inventory (Actual versus ERP system).
  • Seeks approval of Price from Sales and Marketing Manager (if below price list to Sales and Marketing Manager).
  • Prepares RMA (e.g. return item, outright return, no date of delivery, catchweight), to ensure compliance to all customer requirements.
  • Coordinates document requests from the Sales Department to the issuing department and releases the same within the prescribed period or as may be defined as the date needed.
  • Prepares freight waybills/tracking numbers of orders to the Sales Executive.
  • Sends pertinent details or updates to the Sales and Marketing Dept., as may be requested or needed.
  • Endorses medicine requests to the Regulatory Affairs Department, for approval.

MINIMUM QUALIFICATIONS:

  • Graduate of any 4-Year business related course
  • Training certifications on business and management
  • At least 1 year work experience in customer service, sales coordination or order taking process, Fresh Graduates are also welcome to apply
  • Excellent interpersonal skills
  • With good customer service skills
  • Keen attention to detail to ensure all information are correct
  • Computer literate; basic knowledge of Microsoft Office
