MAIN PURPOSE OF THE JOB
The Inventory Controller is responsible for the accurate, systematic, and efficient management of all inventories—both trade and non-trade—within the cold storage facility. The Inventory Controller oversees the implementation of inventory control procedures, conducts regular cycle counts, reconciles variances, and ensures that real-time inventory data is accurate and audit-ready.
DUTIES & RESPONSIBILITIES
A. Inventory Management & Tracking
- Oversee and manage the complete inventory lifecycle, from inbound receiving to outbound dispatch.
- Ensure accurate and timely recording of all inventory movements (receipts, put-aways, transfers, picks, dispatches) in the Warehouse Management System (WMS) or inventory tracking software.
- Assign and verify correct storage locations for products based on temperature requirements, product type, and FIFO/FEFO (First-Expired, First-Out) principles.
- Monitor product shelf life and expiration dates, flagging soon-to-expire or expired goods for appropriate action.
- Manage product holds, damages, and quality control issues within the inventory system.
- Generate and maintain accurate inventory reports, including daily stock levels, aging reports, and discrepancy reports.
- Track inventory of non-trade items such as packaging materials, cleaning supplies, PPE, tools, and spare parts.
- Ensure adequate stock levels and initiate replenishment based on usage and forecasted needs.
- Maintain accurate records for non-trade goods in coordination with Admin and Purchasing.
B. Inventory Accuracy & Reconciliation
- Plan, execute, and supervise regular cycle counts and periodic physical inventories to verify stock accuracy.
- Investigate all inventory discrepancies (overs/shorts) by researching transaction histories, conducting re-counts, and reviewing relevant documentation.
- Identify root causes of inventory variances and implement corrective actions to prevent recurrence.
- Reconcile physical inventory counts with system records, making necessary adjustments with proper authorization.
- Coordinate with the Accounting/Finance department for inventory valuation and audit purposes.
C. System and Process Optimization
- Utilize the Warehouse Management System (WMS) or equivalent software proficiently for all inventory-related tasks.
- Identify opportunities to improve inventory control processes, enhance accuracy, and optimize storage utilization.
- Develop and implement standardized procedures for inventory handling, labeling, and data entry.
- Train warehouse staff on proper inventory procedures and WMS usage.
D. Reporting and Analysis
- Prepare and present detailed inventory reports and analyses to management, highlighting key metrics like inventory turnover, accuracy rates, and potential issues.
- Provide insights and recommendations based on inventory data to support operational planning, purchasing decisions, and space management.
- Assist in forecasting inventory needs based on historical data and projected demand.
E. Collaboration & Communication
- Collaborate closely with Operations, Warehouse, Sales, and Accounting teams to ensure seamless inventory flow and accurate information sharing.
- Communicate effectively with clients regarding their inventory status, discrepancies, or specific handling instructions.
- Coordinate with Forklift Operators and other warehouse staff to ensure correct product placement and retrieval.
MINIMUM QUALIFICATIONS
- Graduate of BS Logistics, BS Supply Chain Management, BS Business Administration, BS Industrial Engineering or similar course
- Relevant certifications in Inventory Management are a significant advantage
- Minimum of 3-5 years of experience in inventory control, warehouse management, or a related supply chain role
- The incumbent will be assigned in Balagtas, Bulacan
