Sales and Marketing Assistant

MAIN PURPOSE OF THE JOB

The Sales and Marketing Assistant provides administrative support to the staff of the Sales and Marketing Department. Duties include general research such as leads and prospects generation, pre-qualification and introduction among others, clerical and project-based works. The Sales and Marketing Assistant projects a professional company image through in-person and phone interaction.

The position reports directly to the Sales and Marketing Manager or the Head of Business.

DUTIES & RESPONSIBILITIES:

  • Maps out potential customers and competitors.
  • Determines unmet needs and market structure (channels).
  • Contacts and conducts initial follow-ups on sales prospects.
  • Coordinates with marketing, sales and technical teams to facilitate marketing functions (i.e. brochures, trade shows, etc.)
  • Provides status reports to management on overall sales and marketing activities.
  • Sets up and coordinates meetings and conferences.
  • Processes customer orders received through different channels/ordering platforms and assists salesman/sales reps in finalizing customer orders before final entry on to the system or Sales Order (SO) creation.
  • Creates Sales Orders on ORACLE NetSuite.
  • Processes Order Fulfillment.
  • Processes Sales Invoice (creating and printing).
  • Conducts research on new market opportunities.
  • Support staff in assigned project-based work, including but not limited to: Develop procedures for contacting and qualifying leads; Develop procedures for updating prospect information.; Develop procedures for competitive research and analyses.; Researching and procuring integrated marketing communications (IMCs) activities.; Maintains Annual, Monthly and Weekly Calendar of marketing activities and initiatives for product promotions and related programs.; Correspondence to prospects and clients.; Coordination of development of marketing pieces such as social media, etc.; Develop procedures for E-Marketing/Internet marketing services for clients.; Preparation of sales proposals or quotations from information gathered in fact-finder.; Develop pricing structures and payment options.; Set up accommodation and entertainment arrangements for company visitors.
  • Works with Warehousing (Inventory) on the monitoring and clean-up on bad stocks and formulate programs for slow-moving, non-moving and near-expiry items.
  • Perform other duties according to business goals and objectives.

MINIMUM QUALIFICATIONS

  • Graduate of a Bachelor’s Degree in Business Administration (Marketing) or any business-related course. Fresh graduates are welcome to apply.
  • 0-6 months in office work or in operations (preferably in marketing)
  • Must be flexible in work locations or site assignments as required and according to business goals and objectives
