Project Admin Specialist

MAIN PURPOSE OF THE JOB

  • Provide general administrative and clerical support to the projects of the department including the management and upkeep of the filing systems, mailing, scanning, and copying to the management.
  • Manage customer accounts by updating records, responding to inquiries, and providing excellent after-sales service.
  • Summarize and monitor projects for quotation, materials for purchase, project and maintenance schedules, and construction reports.
  • Facilitates the processing of accounts payable, billing endorsement and releasing of the Statement of Accounts.

DUTIES AND RESPONSIBILITIES:

  • Responsible for the regular timekeeping of the additional manpower deployed for the completion of the acquired project and services.
  • Answer calls from clients, sub-contractors, and suppliers regarding any inquiries or concerns raised. Gather customer feedback and insights to improve service quality and contribute to service development strategies.
  • Responsible for the custody of data and documents and filing of administration files. Maintain accurate and up-to-date documentation of service contracts, purchase orders, and customer interactions. Monitors transmittal of documents released by the department.
  • Process, canvass and track orders of the projects, ensuring timely delivery and coordinating with logistics and project teams to ensure order fulfillment.
  • Prepare comprehensive comparative statements to highlight cost variations, scope coverage, and key details for informed decision-making.
  • Organize and schedule meetings, product demos, and follow-up calls with clients.
  • Maintain all office related consumables and requirements for the day-to-today running of the projects and the department.
  • Checking, handling and custody of the operational funds of the department.
  • Identify and monitor milestones of the projects and services being commenced and/or completed and create a timely billing endorsement to the Finance and Accounting Department. Track the progress of each project and report status and variances.
  • Assist in the monitoring of expenses in each project, ensure adherence to financial constraints and identify potential deviations or slips in the Cashflow operation of the project.
  • Analyze financial data to create financial forecasts and projections, guiding decision-making.
  • Prepare meeting agendas, take detailed minutes, and follow up on action points.
  • Perform other related duties and tasks as assigned by the Management.

MINIMUM QUALIFICATIONS

  • Bachelor’s Degree (BA/BS) in Business Administration / Accountancy or Architecture, Management Engineering or any related field
  • At least 1 – 3 years of relevant work experience related to vertical and/or horizontal engineering construction, Electro-Mechanical Construction, Project Management and/or Property Management from a reputable contractor, property developer or real estate.
  • Familiarity in all aspects of project management including understanding of the principles, tools/methodologies and resource management.
  • Knowledge of all laws that govern building management and maintenance, as well as familiarity with the National Building Code and legislation that have an impact on building safety, emergency evacuation and environmental protection.
  • Basic accounting statements in relation to the formulation and actualization of P&L and in-depth understanding of the factors and risks affecting financial performance of projects.
  • Willing to take field works outside of Metro Manila
  • Willing to work overtime during critical circumstances.
  • Willing to be deployed outside of Metro Manila for a long period
